How to Write a Fair Refund Policy for Your Digital Product

Refunds feel risky when you sell something that can be downloaded in seconds. Can’t people just grab the file and ask for their money back? Some will. But a policy that is too strict can cost you more than the occasional abuser, because payment disputes, account restrictions and wary buyers are expensive too.

The good news: a fair refund policy is short, easy to write and mostly about being clear. This guide uses Gumroad as the main example because its rules are public and detailed. Other platforms handle this differently, so read your own platform’s help pages.

Why “No Refunds” Rarely Protects You

It is tempting to write “all sales final” and move on. Gumroad’s refund policy article, read in October 2026, explains why that is weaker than it looks:

  • Sellers can set a no-refunds policy, but card networks still let customers file chargebacks at any time.
  • Too many successful disputes can put a Gumroad account at risk of suspension, even when the policy is clearly stated.
  • If more than 1% of a seller’s customers dispute purchases, Gumroad enforces a refund policy across the whole account. An account set to no refunds is switched to a 30-day money-back guarantee.
  • Gumroad also reserves the right to issue refunds within 90 days of purchase, at its discretion, to prevent chargebacks.

In other words, a buyer who is unhappy and can’t get a refund from you may go to their bank instead. A dispute is usually worse for you than a refund.

Pick a Policy That Matches the Product

There is no single right answer. A few common approaches, with trade-offs:

  • A short guarantee, such as 7, 14 or 30 days. Simple to explain and reassuring for first-time buyers. The trade-off is that some people will use it.
  • Refunds on request if something is wrong, such as a broken file or a product that doesn’t match the description. This feels fair to most buyers but needs clear wording about what counts.
  • No refunds, with clear exceptions. Gumroad’s article notes that some consumer laws can override this. For example, it says buyers in Brazil have a legal 7-day window on distance purchases that Gumroad honors even on no-refund products.

For a low-priced first product, a short, no-fuss guarantee can be easier to live with than arguing over a few dollars. Whatever you choose, consumer protection rules vary by country and state, so treat this as general information rather than legal advice.

Write It in Plain Words

A refund policy should be readable in under 30 seconds. Include:

  1. The time window, counted from the purchase date.
  2. What qualifies, in one sentence.
  3. How to ask, such as replying to the receipt email.
  4. What happens next: how long processing takes and whether access to the product ends.

Put it on the product page and inside the product itself. Gumroad’s guide to adding a product suggests using a separate content page for terms and refund details, which is a tidy way to do it.

Here is an example structure you can adapt: “If the product isn’t what you expected, email me within 14 days of purchase for a full refund. No forms, no hoops. Refunds go back to your original payment method, and access to the download ends once it’s processed.”

Handle Requests the Same Way Every Time

Consistency protects you and keeps the work small. Gumroad’s article on issuing refunds lists a few details worth knowing as of October 2026:

  • Refunds should be issued from the Gumroad dashboard, not directly in Stripe or PayPal.
  • A full refund is a button in the sale’s customer drawer. After a full refund, the buyer loses access to the content and updates, and any rating they left is deleted.
  • Partial refunds are available, and the buyer keeps access after one. Gumroad suggests offering a partial refund when a customer is threatening a chargeback.
  • Your Gumroad balance must be able to cover the refund. If it’s too low, the refund waits until new sales cover it.
  • On fees: Gumroad returns its own fee on the refunded portion, but the payment-processing portion is kept. For sales through your own connected Stripe or PayPal account, you are responsible for both Gumroad’s and the processor’s fees.
  • Card refunds usually take 5 to 10 business days to reach the buyer; PayPal refunds are immediate.

Keep a short saved reply for refund requests, and add one question: “What were you hoping it would do?” Not to argue, but to learn. Refund reasons are some of the most useful product feedback you will get.

Reduce Refunds Before They Happen

Most refund requests come from a gap between what the buyer expected and what they got. You can close a lot of that gap up front:

  • List exactly what is included, including page counts, file formats and any software needed.
  • Show the inside of the product with screenshots or sample pages.
  • Add a “Start here” note so buyers know what to open first.
  • Answer emails quickly. A fast reply often turns a refund request into a solved problem.

Do This Today

Write your refund policy in four sentences: the window, what qualifies, how to ask and what happens next. Paste it into your product description and save a matching reply in your email so you can answer any request in under two minutes.
